"What does efficient data management look like for you?" A question I have asked many security companies. And companies are often convinced that they work relatively efficiently. But when you dig deeper, it turns out that customer data is stored in the accounting system, often alongside general order data such as flat rates and durations. A rough overview of the objects may also be stored there. However, this data is often located elsewhere. And the actual description of the contract - i.e. which services have to be carried out when and how often - is printed out in folders or stored somewhere on the hard disk. This is not only very inefficient, but also dangerous for your business.

Advantages of optimizing data management

Many studies show that companies with centralized and organized data management have an enormous advantage over their competitors, whose data is fragmented. According to a study by IDC Data Management (2022), companies that manage their data efficiently have a significant advantage over their competitors. Specifically, these companies would have 69 percent more turnover, 57 percent higher profits and 72 percent higher customer satisfaction.

With SequriX you not only have all the relevant data in one place, the data is also protected to the highest standards:

  • Availability of 99.8 percent
  • Own servers: Operation at two independent locations
  • ISO 27001:2017, ISO 9001:2015, ISAE 3402, ISO 14001:2015

Contract module

The structure used to create and store the data is tailored to the security industry. Thanks to various profiles, you can set which customer should receive which report and when. Objects can be flexibly and extensively provided with information that is available to your employees depending on the situation: From key information and EMA/BMA codes, to to-do's and service instructions to (offline) documents.

All relevant information can be stored in the contract module:

  • Terms with different invoice dates and customer requirements in each case
  • Flat rates, unit, hourly and interval rates with automatic invoice items
  • Automatic and predictable price adjustments
  • VdS 2172-compliant response times for alarm intervention (applies to the German market)

With the help of task repetition, you create your customer's requirements once in templates and SequriX ensures that the tours, openings and closures, special inspections, etc. are available exactly when and in the number agreed with the customer. And this takes into account the customer's public holidays.

Controlling

How frustrating is it when your employees perform extra rounds that are not documented and therefore cannot be billed? How frustrating is it when the service consistently involves more work than agreed with the customer? With the controlling features of SequriX, you can quickly uncover deviations:

"Thanks to SequriX, we were able to find out very quickly that a check agreed with the customer, which was specified as taking 10 minutes, actually took the driver 20 minutes," says Dominik Buchholz from IHRE Sicherheit.

Almost all SequriX customers experienced many such cases in the first few months. As a result, they were able to optimize their contracts accordingly and thus increase sales.

But SequriX controlling offers even more advantages. You can quickly see which rounds were incomplete, which tasks were completed faster or slower than agreed, and which tasks are overdue. In addition, SequriX generates a report for you with just a few mouse clicks on the response times for alarm interventions - the so-called response time error rate report. The new VdS 2172 guideline (German guideline) even explicitly stipulates this.

Automated invoicing

Since all invoice-relevant data is available in SequriX (customer, object and type, duration and price of the service), it is logical to have the invoices generated automatically.

To do this, you enter the terms in the order module and configure the prices and invoice items with parameters. Then it's just a matter of a few clicks and the invoices are ready to be sent by email or exported to your financial accounting system.

Tedious typing of alarm notifications is now a thing of the past.
